AN End-to-end DIGITAL SCANNING SOLUTION from Scan2Archive
THE NEED
A Brisbane based multinational Mining Company had the urgent need to relocate thousands of Files, Folders, Large Format Plans, Fiche, CD’s, VHS Tapes and Photos due to an office relocation. It was decided that a digitisation project was the clear solution rather than just moving the variety of materials to another storage site and risk losing any of these valuable business assets.



THE CHALLENGE
The Mining Company’s Management Team wanted to secure a local Brisbane based digitisation specialist who had the capability to scan and digitise a plethora of materials including non-standard size items for scanning thus allowing for Metadata to be extracted.
This in turn allowed the Brisbane based Multinational Mining Company the ability to search all their documents and files from key site locations.
The mining giant essentially needed a partner who could provide an end-to-end solution and had control of the files all the way through the process to ensure the safety and security of these confidential mining site materials.
KEY CHALLENGES

Timeliness due to office relocation – requiring fast turnaround for on-site collection.

Confidentiality and security of materials whilst in transit and during project completion.

Wide variety of materials for scanning, in particular
non-standard paper size items.

Metadata Extraction for such a wide variety of information that needed to be extracted that was non-standard.
THE SOLUTION
Scan2Archive was selected based on being a local digitisation specialist, ISO Certification Quality certified to ISO 9001:2015 standards, able to provide an immediate response to this complex project and having the widest capability to scan in Australia.
Scan2Archive provided the end-to-end solution which included the following key areas:
- Immediate collection from the Brisbane office location of all materials using our own staff and vehicles to box supply, pack and securely transport the materials to our scanning facility.
- Confirmation of Project Specifications with the client
- File Output / File Naming to customer specified naming conventions
- All file preparation undertaken for the variety of materials for scanning (removals of bindings, paper clips, plastic sleeves, tears repaired, unrolling of large format plans, etc)
- Commencement of Scanning – With such a wide variety of materials for scanning, our professional team of Scanning Technicians provided solutions for all materials and paid particular attention to the scanning of the non-standard paper size items. Scan2Archive’s state of the art, high resolution Document Scanners, Large Format Plan Scanners, Book Scanners, Microfiche Scanners, Film Scanners and Audio visual digitisation stations were all required to cover the scope of the project.
- Optical Character Recognition (OCR) software applied to all scanned items to allow all documents/files to be easily searched and retrieved once transferred to the Brisbane based Mining Company’s system/database.
- Metadata Extraction – was completed by the Scan2Archive data team. Information such as Project Codes, Document Types, Report Titles and Document Authors was provided to match against existing data held by the client.
- Quality Control and Image Transfer completed the final stages of the digitisation project, with all components meeting stated project timeframe.
